When you run the Audit Trail Report, the Secured Task Executed field displays the task that a user used to have made a change to the respective primary instance. We provide reasons why you might see some of these tasks:

Displays when you copy a calculated field.

Custom Report Definition: You see the Copy Calculated Field secured task on an audit trail for a custom report definition when you use the calculated field in the custom report definition.

User-Based Security Groups: You see the Copy Calculated Field secured task on an audit trail for a user-based security group when you use the security group in a condition that’s part of the copied calculated field.

Displays when you copy a custom report.

Business Process Definition: You see the Copy Custom Report secured task on an audit trail for a business process definition, when the business process definition has a shared object with a custom report that you’re copying. Shared objects include calculated fields, condition rules, and so on.

Custom Report Definition: You see the Copy Custom Report secured task on an audit trail for a custom report definition when the custom report has a shared object with the custom report you’re copying. The shared object type is in the Business Object of Related Instance-Updated field.

• Example: Entry prompt definition, formatting style, custom report definition, and so on.

The related instance that you update is in the Related Instance-Updated field.

User-Based Security Groups: You see the Copy Custom Report secured task on an audit trail for a user-based security group, when using the security group in a condition that is part of the copied custom report definition.

Displays when you copy or link a business process definition to a business object. It occurs when you use the Copy or Link Business Definition related action on an existing business process definition.

User-Based Security Groups: You see this secured task on an audit trail for a user-based security group when you use the security group to perform a workflow step, and when the security group receives notifications for the copied business process definition.

Displays when you copy a custom report from a standard report.

Custom Report Definition: You see this secured task on an audit trail for a user-based security group when you use the security group to perform a workflow step, and when the security group receives notifications for the copied business process definition.

The shared object type is in the Business Object of Related Instance-Updated field. The related instance that you update is in the Related Instance-Updated field.

•  Example: Entry prompt definition, formatting style, custom report definition, and so on.

Displays when you create a new condition rule used to check values with relational operators to test whether an action should run or continue.

Business Process Definition: You see the Create Condition Rule secured task on an audit trail for a business process definition, when you create a condition rule that you use in different places within the business process definition.

• Example: Within workflow steps, delegation rules, and so on.

User-Based Security Groups: You see the Create Condition Rule secured task on an audit trail for a user-based security group when you use the security group in the condition rule that you're creating.

Displays when you create a new prompt set, used to set up default values for prompts in your composite reports. Prompt sets help you link the data sources of subreports together.

Custom Report Definition: You see this secured task on an audit trail for a custom report definition when you create a new prompt set for your composite report definition.

Displays when you delete a calculated field.

User-Based Security Groups: You see this secured task on an audit trail for a user-based security group when you use the security group in a condition that’s part of the calculated field you're deleting.

Displays when you delete a custom report.

Business Process Definition: You see the Delete Custom Report secured task on an audit trail for a business process definition, when you use the business process definition in a report prompt on a custom report that you delete.

Custom Report Definition: You see the Delete Custom Report secured task on an audit trail for a custom report definition, when there are related instances that Workday changes or removes because you’re deleting the custom report.

• Example: Entry prompts and formatting styles related instances.

User-Based Security Groups: You see the Delete Custom Report secured task on an audit trail for a user-based security group, because Workday removes the security group from the custom report definition that you’re deleting.

Displays when you make changes (such as, adding and removing business process steps or modifying security groups on a business process step) to a business process definition.  

Business Process Definition: You see the Edit Business Process Definition secured task on an audit trail for a business process definition, when you make changes to related instances (such as business process steps) using the Edit Business Process Definition task. 

• Example: You can change the due date of a business process step using the Edit Business Process Definition task.

User-Based Security Groups: You see the Edit Business Process Definition secured task on an audit trail for a user-based security group, when you add or remove the security group from part (such as workflow steps and workflow notifications) of the business process definition. 

• Example:  You can enable a user-based security group to perform a workflow step that changes the relationship between the security group and the workflow step.

Displays when you make a change to a calculated field.

• Example: Changing the calculation of a calculated field from summing 2 different fields to calculating the difference between the 2 fields.

You can also use this task to remove references to a calculated field from other reports and conditions. When you make changes with the Edit Calculated Field task, Workday also displays changes to instances that use that calculated field.

User-Based Security Groups: You see this secured task on an audit trail for a user-based security group when you add the security group to, or remove it from, a calculated field.

Custom Report Definition Last Exported by Custom Report Definition Export

Displays when an internal diagnostic tool exports an encrypted snapshot of a report's definition for triage purposes. This process is triggered automatically when a difference is detected in an unreleased feature, enabling us to perform internal checks.

What This Means for You

This process is an automated, internal diagnostic step. You can safely ignore this update to the report definition, as it's strictly for our internal quality assurance and doesn't impact your report's functionality, data, or performance. No action is required on your part.
