Plan - Launch Flex
The objectives of the Plan stage are to confirm the project scope, initiate project and change management activities and establish project management processes and controls. You'll draft and review the project goals, plan, timeline, milestones, deliverables, resources, and responsibilities. You'll also initiate project work streams (functional, integrations, reporting, and so on) to align on approach, resources, and schedules.
The Plan stage begins with project startup, planning and preparation activities, to include a Project Kickoff with the entire team. The kickoff reviews the overall project, including a draft of the plan, timelines, and resources. The stage ends with a Stage Sign Off.
Some activities in this stage depend on the products deployed. Assume that all activities in the Plan stage are required unless otherwise noted.
Project Startup & Planning
- Participate in the Customer Introduction to Services meeting
- Complete Customer Preparation tasks
- Review the Deployment Guiding Principles
- Participate in the Customer Project Planning Workshop
- Participate in the creation of the project plan
- Sign off on the Project Charter
- Participate in creation of the Tenant or Instance Management Plan
- Understand Knowledge Transfer Approach
- Create the Test Strategy document
- Participate in the Project Kickoff meeting
Configuration Preparation
- Attend workbook calls
- Provide needed information for workbooks and questionnaires
- Map unique items are captured as test scenarios
Data Preparation
- Attend the Data Conversion Kick Off meeting
- Attend Data Preparation Calls
- Prepare requested data
Integration Preparation
- Attend the Integrations Kick Off meeting
Reporting Preparation
- Attend the Integrations Kick Off meeting
Foundation Tenant Build
- Provide requested data via a secure method
Customer Training
- Confirm customer fundamental training plans.
- Confirm customer project manager training.
- Confirm customer Training for Named Support Contact (NSC).
- Explore Workday Pro, a certification program designed for professionals to build and validate expertise in Workday.
- Share the Executive Briefing Series with the customer executive sponsor and other project leaders who might find it valuable. If you have a new executive transitioning onto the project mid-deployment (regardless of the phase), consider sharing content related to Educating New Executives at a Deploying Customer to inform them of key Workday concepts and leading practices.
Customer Change Management
- The customer initiates change management program activities:
- Review the Change Management Guidance Kit
- Confirm resourcing for change management workstream
- Identify and assess impacted stakeholders and stakeholder groups
- Begin to develop the initial change management strategy
