Customer Prep Period (Student)

Customer Prep is a 6–8 week period before the start of the Plan stage. During this time, the customer completes key tasks that ensure they’re prepared for Day 1 of their implementation. For Workday Primed projects, the customer should complete the Deployment Prep Navigator (DPN) and submit all Customer Information Workbooks (CIWs) prescribed in the DPN. During this window, the customer also begins Workday Education training.

Note: Content indicated for use on Sequential and Overlapping deployments applies to Student Your Way - Multi-Institution and Student Launch deployments unless indicated otherwise.

Project Start-Up

Activities and project artifacts required to initiate the project including orienting the customer, reviewing scope, and establishing the project tools and environment.

The Workday EM or Partner PM will:

  1. Complete Project Onboarding Guide Template for Student.*
  2. Confirm New Customer Onboarding Process completed.
  3. For SYW, conduct: Customer Project Orientation Meeting (PM/EM Intro). For SL, conduct Deployment Orientation and Scope Alignment Sessions first with customer PM team and then with customer Functional and Technical leads as described below.
  4. Complete Your Way Project Startup Checklist.
  5. Prepare for and conduct: Sales to Service Transition Meeting.
  6. Set up project repository Smartsheet Project Management Tool.*
  7. Request: sFTP site.
  8. Complete Customer Information and Logistics Template.
  9. Conduct: Customer Scope Reviews Meeting.
  10. Download the Student Your Way Workset Playbook or use the Smartsheet* version.

Stage Prep: Plan Presentation

EM/PM and Consultants use the appropriate Stage Prep: Plan a presentation to align the team, understand events and activities, and identify tools in the Plan stage.

Operational and Academic Alignment Assessment (OAAA)

Multi-Institution Deployment

If this is a Multi-Institution deployment, EM and FCs are onsite for the kick off, global session, and the Operational Academic Alignment Assessment (OAAA) breakouts for each functional workstream.

Deployment Orientation and Scope Alignment (DOSA)

Student Launch Deployment

If this is a Student Launch deployment, the EM or PM conduct Deployment Orientation and Scope Alignment Sessions first with customer PM team and then with customer Functional and Technical leads to:

  1. Orient the customer team to the deployment methodology and process.

  2. Set clear expectations regarding customer-owned tasks.

  3. Align on in-scope and out-of-scope items.

  4. Align on process/expectations for handling requests to modify scope during the deployment.

  5. Assign initial deliverables to the customer team.

Governance Framework

If this is a Multi-Institution deployment:

  1. Engagement Manager, PD, and FC kicks off the governance workshops using the Governance for Multi-Institution Deployments with institutional sponsors to provide guidance on governance principles and outcomes in delivering a governance charter.

Deployment Preparation

The Workday EM or Partner PM will:

  • Present an overview of the Deployment Prep Navigator* tool.
  • Assign Deployment Prep Navigator* and Customer Information Workbooks.

Also, on Student Launch Deployments, the Consultants will:

  • Prepopulate the DPN/CIWs with publicly available information before assigning them to the customer.
  • Support the completion of the DPN/CIWs by meeting with the customer to provide guidance, answer questions, and review completed portions of DPN/CIWs through the CPP.

Customer Training

The EM or PM will:

  1. Ensure that customer Training Coordinator has reviewed Customer Training Coordinator Hub 
  2. Ensure that customer has reviewed Run Workday Learning Center Reports and can run reports including Open Seats Report.
  3. Ensure that customer Training Coordinator has reviewed Student Customer Training

Customer activities

  1. Confirm Training for Named Support Contact (NSC) is complete.
  2. Confirm that Customer Project Manager Training is complete.
  3. Share Workday Pro, the customer-accreditation program that drives greater self-sufficiency through enhanced product expertise. Customer training plans likely already directly align with and fulfill Workday Pro requirements.

Data Conversion Kick-Off

Student Launch Deployments

Student Your Way deployments complete during Plan Stage. If this is a Student Launch deployment, Data Conversion Consultants will: 

  1. Conduct Data Conversion kickoff.
  2. Present Data Conversion Overview (refer to Data Conversion Toolkit).
  3. Assign customer next steps.
  4. Create a project-specific Data Conversion Tracker.
  5. Establish depth of data conversion for Foundation Tenant. 
  6. Conduct data-mapping sessions with customer Data Conversion Lead for Foundation Tenant.
  7. Finalize Data Conversion Approach.
  8. Load Foundation Tenant with all foundation data.
