Important Workday Configurations for Strategic Sourcing Connector and Integration Adoption
2025R2 Update: Transitioning to Real-Time Integrations
We recommend that customers use the new real-time integrations instead of legacy connectors. However, previously implemented legacy connectors will continue to be supported.
The real-time integrations include:
- Requisition to Project Integration (generally available)
- Unified Supplier Integration (estimated 2025R2+)
- Contract Lifecycle Management (CLM) Integration (estimated 2026R1+)
For the integrations not yet available, Workday will share more details closer to the release date
There are 4 data integrations between Workday Strategic Sourcing (WSS) and Workday. Once set up, they enable data and workflows to occur between both systems, and the ability to view certain Workday Financial Management and Procurement data within WSS.
The purpose of this document is to explain if and how your configuration in Workday will flow into and affect WSS. Where relevant, we provide recommendations on how to configure Workday to ensure optimal data syncing and adoption in WSS.

Award to Requisition Connector
Historic Data Migration Required? No, there’s no historic data migration that needs to take place.
Important Workday Configurations:
- Financial Companies, Spend Categories, and Units of Measure configured in Workday will be visible in Strategic Sourcing worksheets.
Actions at the time of Workday Go-Live:
Ensure that Workday SSO is working successfully before enabling the Award to Requisition Connector. To do this, take the below steps:
- Navigate to the Workday Strategic Sourcing Worklet in the Workday tenant. Select the worklet.
- Clicking on the worklet should bring you to your Strategic Sourcing home page. If you’re clicking on the worklet for the first time, you’ll be asked to confirm your account using an automated email. If you’re brought successfully into Strategic Sourcing without needing to enter in other sign-in information, SSO is working successfully.
Requisition to Project Integration
Historic Data Migration Required? No, there’s no historic data migration that needs to take place.
Important Workday Configurations:
- Units of measure in Workday will disply in Strategic Sourcing.
- If the items on the Requisition are Catalog items, the item description will display in Strategic Sourcing.
Actions at the time of Workday Go-Live:
- Ensure that Workday SSO is working successfully before enabling the Requisition to Project Connector.
- Navigate to the Workday Strategic Sourcing Worklet in the Workday tenant. Select the worklet.
- Selecting the worklet should bring you to your Strategic Sourcing home page. If you’re selecting the worklet for the first time, you’ll be asked to confirm your account using an automated email. If you’re brought successfully into Strategic Sourcing without needing to enter in other sign-in information, SSO is working successfully.
- Ensure the Requester field and Financial Details sections are visible on the default project type in Strategic Sourcing.
- Ensure Intake Routing is enabled to automatically assign ownership of projects pushed from Workday. Create an Intake routing rule filtered on External ID = Is Not Empty and assign the rule to a Sourcing Manager - this is because any project pushed from Workday will have an external ID tied to it. It’s not possible to create a routing rule on additional data at this time so any projects pushed from Workday must be routed to the same person/team every time.
- Import Commodity Codes used in Workday into Strategic Sourcing.
- Set up commodity codes in Workday.
- Use an EIB to export commodity codes from Workday.
- Use the Data Importer in Workday Strategic Sourcing (WSS) to import Commodity Codes.
- (Optional) Request Suppliers add Commodity Codes to their profiles when completing the Standard Onboarding Form. This can be configured in the Commodity Codes section of Company Settings. Sourcing Managers can also add Commodity Codes to suppliers on their Supplier Profile. This step will ensure that suppliers are automatically added to the relevant sourcing events in Strategic Sourcing.
Supplier Connector
Historic Data Migration into Strategic Sourcing Required? Yes, the Connector from Workday populates the Supplier Directory in WSS.
Important Workday Configurations:
- Strategic Sourcing validates supplier address information upon supplier connector sync to ensure accuracy. If you've turned off validations when conducting the Submit Supplier EIB into Workday will likely need to correct supplier records before the Strategic Sourcing Supplier Connector sync and go-live. We commonly see validation errors on the below information, which is why Workday recommends having Address Validations enabled for the Submit Supplier EIB load.
- Address Usage
- Regions
- Address Zip Codes
- To ensure supplier contact information remains synced between both Workday and WSS, use the Supplier Contacts tab on the supplier in Workday. Data that lives in the Contact Information tab in Workday isn’t synced with Strategic Sourcing.
- Supplier Groups and Categories configured on a Supplier in Workday will display on the supplier in Strategic Sourcing. You can filter which suppliers should flow into Strategic Sourcing based on their Group or Category.
- Supplier Contact Types configured on Supplier Contacts in Workday will display in both Strategic Sourcing and Workday.
- In the Maintain Supplier Classifications, any Diversity Expiration or Effective Date should have a type of Effective Date or Expiration Date, not Date.
- New suppliers can be onboarded in Strategic Sourcing and passed into Workday. Many users continue to use the Supplier Event and Supplier Change Event Business Processes in Workday to approve new suppliers that are onboarded in Strategic Sourcing, and to manage supplier changes.
Actions at the time of Workday Go-Live:
- Use the Strategic Sourcing Data Importer to add the Workday Supplier ID as the External ID for any active suppliers that live in both systems.
Supplier Contracts Connector
Historic Data Migration into WSS Required? Dependent on whether you have existing contracts in Strategic Sourcing, Workday or both. Current Active Contracts can be imported into Strategic Sourcing using the Data Importer.
Important Workday Configurations:
- Financial Companies and Company Hierarchies configured in Workday will be visible on Strategic Sourcing Contracts.
- Contract Types: All existing Workday contract types can be available in Strategic Sourcing, except these:
- Lease Options (Financial Lease, Operating Lease, Short-Term Lease)
- Variable Payment
- Consignment
- Receive Lines
- Multi-Participant
- Multi-Supplier
- Obligations
- Scheduled Invoices
- Scheduled Purchase Orders
Actions at the time of Workday Go-Live:
- Use an integration system or API to add the Workday Contract Type ID onto the corresponding Strategic Sourcing Contract Type.
- Import Active Contracts into WSS using the Strategic Sourcing Data Importer.
