This article lists frequently asked questions and answers that we've collected about Strategic Sourcing. Strategic Sourcing is a platform that enables users to streamline their source-to-pay process. 

Resources

In the Workday Community, we recommend reviewing our Next Level book for instructional content on various product modules. Strategic Sourcing's Workday Administrator Guide contains product functionality information and setup considerations and recommendations.

For complete details on new features, fixes, and retirements, refer to the Release Center. It is updated every Wednesday and Friday afternoon (PT).

So that our product team can track need and impact across all customers, submit ideas using the Workday Community Ideation Hub.

Customer Named Support Contacts can submit cases to Strategic Sourcing's support team for any product functionality questions or issues. You’re also encouraged to engage with other customers, partners, and subject matter experts using the Product Discussion Boards in Workday Community.

This information is in Strategic Sourcing. At the top of the page, select the user's name to bring up a drop-down. From there you can access published privacy policy information. 

Platform

You can't pull data points across different datasets in Strategic Sourcing native reporting. To pull data out of Strategic Sourcing to combine across datasets, or with data from other systems, we recommend using the PowerBI, or Tableau connectors.

It isn’t possible to export a team structure from Company Settings. If a Sourcing Manager or Company Admin is placed on a team, they have access to records beyond those they are owners of. You can report on the list of stakeholders added to various records by adding the Stakeholders List field to their dataset.

Strategic Sourcing has integration points to integrate suppliers, supplier contracts, and requisitions into Workday; more information can be found in the Workday Administrator Guide and Strategic Sourcing Connectors with Workday Series. In addition to Workday integrations, we offer connections with: 

Any additional connections with Strategic Sourcing can be set up with our APIs.

It isn’t possible in the Strategic Sourcing User Interface to mass export attachments, but you can establish an API connection to do this. 

No, you can't extract team chat messages across multiple records. 

Strategic Sourcing allows customers and suppliers to upload files up to 5GB. There's no limit of the number of 5GB files that can be uploaded to the system.

Intake and Pipeline

Yes, under the Sourcing Owner field on Pipeline, users can reassign the sourcing owner of a project. The owner can also be reassigned in the Stakeholders section of the project or contract.

Requests come in with the owner as unassigned and all Company Admins receive a notification email. Licensed users can assign ownership manually from the Pipeline > Requests tab.

Stakeholders have a similar view of the Pipeline home page, except that they only see projects they’ve been requested or invited to. To view the intake form, a licensed user can access the link at the top of the project’s layout page in Company Settings. Only company admins have access to Company Settings.

Yes, they receive an email notification that prompts them to login to Strategic Sourcing.

Yes, Milestones can be made conditional by configuring Project Workflows.

Yes, hints can be added to custom and default fields. The Workday Administrator Guide contains instructions on how company admins can add hints to default fields.

Strategic Sourcing can’t enforce a naming convention but to drive behavior, you can add a hint to the Project Title field.

Yes. Under the Options button in Project Details, a user can view the history of a project.

Only Company Admins can delete projects; this can be done under the Options button on the top right of the Project Details page. Once a project is deleted, the data isn’t retrievable. For most cases, we recommend Sourcing Managers mark projects in the canceled status so that data isn’t lost. 

Sourcing

Yes, instructions on how to edit live events live in the Workday Administrator Guide. A few  considerations:

  • Suppliers can still access and update their bids while you're editing your event.
  • Editing an event doesn't take it offline or prevent suppliers from accessing it.
  • We recommend messaging suppliers through the message center to inform them when you have made updates to an event.

All event and bid information can be exported into Excel on the Bid Analysis page. However, details of supplier bid information aren’t available in native reporting.

Strategic Sourcing allows for bulk copy and paste of questionnaire questions and worksheet rows, but it isn’t possible to upload a single Excel document to create an RFx.

Yes, you create your own introductory email template to send to suppliers.

Suppliers can receive an invitation to sign in to Strategic Sourcing through their email, or can proactively register with Strategic Sourcing if their customer is using the Supplier Self Registration Form.  Suppliers must create their Workday Central Login Account and use multifactor authentication to log in. Once they create their account, they can:

  • View the RFx event/form and invite internal team members to collaborate with them.
  • Access instructional articles and Workday’s support team if assistance is needed.
  • Submit questions to the buyer using the message center.
  • Download an Excel worksheet of the RFx/Form to work on offline.
  • Receive automated email reminders as timeline dates approach.

The Named Support Contact Hub page contains information on supplier resources in the Strategic Sourcing Supplier Technical Support section. Suppliers are able to contact the support team directly by submitting a case for any product question or issue.

Yes, there’s customer facing documentation in the Workday Community. However, Workday does not recommend this connector.  Instead, Workday recommends the real-time Requisition-to-Project integration.

 

Yes, it's possible for an organization to use its Public Bid Site without Supplier Management. Suppliers won’t be automatically added to your Sourcing Events, nor will Supplier Contacts be notified of newly published Public Bid opportunities for your organization.

You can control which Sourcing Events and Contracts display on the site, but can’t customize which data is displayed on the site. Example: Contracts posted to the site will always display the Supplier Name, Start Date and End Date.

Contracts are removed from visibility on the Public Sourcing Site upon expiration, termination, or transition to a non-active state.

Supplier Management

Yes, Workday has a Unified Supplier Portal in Workday Strategic Sourcing. Now your supplier contacts can sign in once and access:

  • Action Items
  • Contract Negotiations
  • Sourcing Events (RFPs and Auctions)
  • Onboarding Forms
  • Invoices and Payments
  • Performance Reviews
  • POs and Catalogs

All Supplier Invitations (Performance Reviews, RFX Events, and Supplier Forms) expire after 90 days. Sourcing Managers can resend.

Licensed users can complete form templates internally using the Submit on Behalf of Supplier function. Alternatively, some choose to convert their current forms into fields on a project for the stakeholder to complete. 

No, they don't need to fill in all of their information again. Previous form responses from a supplier live in Strategic Sourcing, and they will only needs to edit the previous information submitted, not complete all the information again.

Yes, you can map form responses to fields on the supplier profile to make them easily visible and reportable.

You can request that a supplier provides updates to their form response before marking the form response as approved.

No, you can't customize Strategic Sourcing so that forms are sent automatically to suppliers on a schedule or specific dates.

Yes, there's customer facing documentation in the Workday Community. We provide more detailed setup documentation to the professional services ecosystem that set up this connector.

Note: The Unified Supplier Integration is expected in 2025R2+ release and will be customer self-serve (no professional services required). Workday will share more details closer to the release date.

No, a field can either be manually updated as a custom field, or mapped from a form.

No.

They’re invited as a stakeholder into Strategic Sourcing and can complete their scores in the tool. It’s possible to customize which scorecard sections are answered per stakeholder. 

Only licensed users can create performance reviews and publish scorecards. However, stakeholders can be given read/write access to be able to edit the scorecard as they see fit. 

No, this isn’t possible. Commodity Codes can be added to existing supplier profiles individually or customers can request supplier contacts to update their commodity codes on their completed onboarding form. Supplier Profile Editing must be enabled to allow Suppliers to make updates to their profile.

Similar Supplier Search can only be leveraged with Supplier Management and the Supplier Relationship Management (SRM) Supplier Self-Registration feature enabled. Otherwise, any new supplier contact that self-registers is created under a new supplier company, even when that supplier company already exists in your organization’s supplier directory.

No, you’ll have access to the suppliers already in their own WSS supplier directory and any new suppliers who self-register.

Enable Can Edit Their Data After Onboarding in Settings > Supplier Profile > Supplier Profile Editing. This allows suppliers to edit their data after onboarding. Then, there are 2 possible options for requesting updates from Suppliers:

  1. Resend forms to your suppliers using WSS to request they add Commodity Codes. 
  2. Access the Forms tab of a previously finalized form and send a message to the supplier using the Message Center, asking the supplier to add their Commodity Codes. The supplier will then need to finalize their updates, and submit to your organization again.

Contracts

Note: With the 2026R1+ release, supplier contract workflows and negotiations will be managed in Workday Contract Lifecycle Management (CLM). Support for WSS Contracts will be limited to existing customers only.

Stakeholders are notified when a contract they’re the stakeholder on is approaching renewal. The contract can be revised and a new version created by a sourcing manager, or the requester can submit a new intake request for the renewal.

A contract status can be changed to active once the required fields have been completed. If approvals are being used, the contract status should be changed to Send for Approval. Once a contract is approved, Strategic Sourcing automatically moves the contract to active once the start date passes.

No, company admins and individual users can set up the DocuSign and Adobe Sign Integrations with a few clicks.

Yes, any company admin can download an import template specific to their company from the Data Importer page under the Navigate button. Follow the instructions in Import Data

No, we recommend only managing supplier contracts within Strategic Sourcing.
